Overview

WHO are we looking for?


CAPTRUST is seeking a Senior Administrative Associate who will be responsible for high-level administrative support for the firm. This role will be responsible for greeting office guests, answering incoming telephone calls, directing calls to appropriate team members, and other duties as needed. This dynamic role requires the ability to think critically, anticipate needs, and offer solutions to problems with a high level of professionalism and confidentiality. A meticulous attention to detail and strong organizational skills while multi-tasking are also a must. Primary responsibilities may include the following, among others:

Responsibilities

  • Experience in supporting Directors and Executive Leadership
  • Versatility to cover Front Desk, Mailroom, and C-Suite duties as needed
  • Manage calendars, schedule meetings and appointments, including
    authorization and logistical coordination with facilities, security, and
    caterers
  • Arrange travel, hotels, and transportation
  • Prepare agendas, correspondence and reports and other documents
  • Prepare conference rooms for meetings; clean conference rooms after meetings
  • Greet clients and visitors warmly, ensuring a positive first impression
  • Skillfully redirect incoming calls to the relevant team member and ensure timely follow-up on emails, responding within 24 hours
  • Proficient in navigating CRM systems
  • Manage contact management database, including updating and adding contact information as necessary and managing various workflows relating to prospects, referrals, COIs, clients
  • Main point of contact for other CAPTRUST employees seeking assistance with ensuring the smooth operation of the branch location.
  • Assist with planning and preparation of client events and employee events
  • Training new administrative colleagues
  • Special projects as assigned

Qualifications

Minimum Qualifications:

  • College degree preferred, or a minimum of 5-7 years of relevant experience working with executive level and C-suite personnel and/or training, or equivalent combination of education and experience
  • Proficient computer skills including Microsoft Office Suite

Desired Qualifications/Skills:

  • Excellent written and verbal communication skills
  • Financial services background preferred but not required
  • Strong organizational and time management skills
  • Ability to work collaboratively as well as independently
  • Ability to handle multiple assignments simultaneously
  • Strong presentation skills
  • Project management experience
  • Ability to sustain and strengthen relationships with strategic partners
  • Strong sense of initiative, flexibility, diplomatic nature, and demonstrated leadership skills
