Overview

WHO are we looking for?

 

CAPTRUST is seeking a Corporate Real Estate Associate who will help support the facilities needs of our 80+ office locations. This position will be responsible for managing daily maintenance and repairs of our headquarter office in Raleigh, NC as well as coordinating similar efforts in regional offices. The position will also coordinate services with vendors and manage all employee related facilities needs. In addition, the position will assist our Corporate Real Estate team with coordination efforts related to office up fits, renovations and moves. This is a full-time position working Monday through Thursday from 8:30 a.m. to 5:30 p.m. and Friday from 8:30 a.m. to 4:00 p.m., in our Raleigh, North Carolina, office location. Due to the nature of the role, this is not a remote or work from home position.

Responsibilities

  • Work with vendors, contractors and property managers to ensure timely completion of repairs and maintenance tasks. Includes entering building work orders and following up on progress and completion
  • Request and review vendor/contractor quotes to ensure correct scope of work and pricing is based on customary rates; solicit additional quotes as needed. Prepare quotes including recommendations to Facility Director
  • Coordinate facilities services as needed, including but not limited to janitorial, beverage services, parking, carpet cleaning and security services
  • Develop and maintain relationships with employees, property managers, vendors and other key stakeholders to ensure a high level of customer service
  • Participate in the development of long term plans for facility maintenance, upgrades and improvements, including budget development and management
  • Provide regular reports to management on facilities operations and expenses. Adhere to annual expense budget
  • Coordinate employee requests for equipment such as ergonomic workspace enhancements, office chairs, whiteboards including procurement and scheduling installation
  • Coordinate employee onboarding, offboarding and moves including nameplates, seating assignment, workspace cleaning, keys, vehicle information
  • Coordinate workspace reservations to include appropriate equipment availability and workspace cleaning
  • Coordinate annual fire drill with building management and key firm stakeholders and participants. Maintain updated list of floor warden volunteers
  • Actively participate in team meetings for facility matters including coordinating with other departments
  • Occasionally Support Corporate Real Estate team with small projects and regional office moves. May be asked to travel to one of our 80 office locations

Qualifications

Minimum Qualifications:

  • Bachelors’ degree or equivalent years of experience 
  • 3+ years of relevant professional experience
  • Ability to work in fast-paced environment on multiple tasks/projects
  • Ability to lift a minimum of 45 lbs.
