Who are we we looking for?


CAPTRUST is seeking a Portfolio Systems Associate to support investment operations, account servicing, platform administration, and strategic technology migration initiatives across our portfolio management business. This role is ideal for a technology-minded operations professional who enjoys solving problems, improving processes, and helping shape the future of CAPTRUST's investment platform and operational infrastructure. The successful candidate will play a key role in supporting day-to-day operational activities while contributing to major platform modernization efforts. This individual will work closely with Operations, Technology, Portfolio Management, and Regional Office teams to improve workflows, enhance data quality, and support the adoption of new systems and capabilities.

Responsibilities

Investment Operations & Account Servicing

  • Support account onboarding, maintenance, and operational servicing activities across investment platforms.
  • Perform account and portfolio reconciliations, investigate discrepancies, and assist with issue resolution.
  • Manage data imports, exports, validation processes, and quality-control activities across portfolio management and operational systems.
  • Create and maintain operational reports, spreadsheets, and data analysis tools utilizing advanced Excel functionality.
  • Support platform administration and operational activities within accounting and portfolio management systems.

Process Improvement & Operational Excellence

  • Partner with regional offices and centralized operations teams to understand existing workflows and identify opportunities for process improvement.
  • Document business processes, procedures, and workflow requirements to support consistency, scalability, and operational efficiency.
  • Identify operational risks, process gaps, and manual workarounds and recommend practical solutions.
  • Assist in developing and maintaining best practices that improve operational effectiveness and client service delivery.

Technology & Platform Migration Support

  • Participate in technology implementations, platform migrations, and operational transformation initiatives.
  • Assist with data conversion, validation, reconciliation, and migration activities.
  • Support user acceptance testing (UAT), defect tracking, workflow validation, and issue resolution during system implementations and enhancements.
  • Collaborate with technology, operations, and business stakeholders to improve system capabilities and enhance the advisor and client experience.
  • Contribute to ongoing platform modernization efforts and support adoption of new technologies and service models.

Qualifications

Minimum Qualifications:

 

  • 2–5 years of experience in wealth management, investment operations, portfolio systems, or a related financial services environment.
  • Working knowledge of investment account onboarding (APX), maintenance, reconciliation, and operational support processes.
  • Strong Microsoft Excel skills, including data analysis, reporting, reconciliation, data validation, and import/export activities.
  • Experience working with advisor technology platforms, portfolio management systems, CRM systems, or similar operational tools.
  • Ability to manage multiple priorities while maintaining a high degree of accuracy and attention to detail.
  • Strong written and verbal communication skills with the ability to collaborate effectively across business and technology teams.
  • Demonstrated analytical, organizational, and problem-solving abilities.

Desired Qualifications/Skills:

 

  • Experience supporting platform conversions, technology implementations, system integrations, or operational transformation initiatives.
  • Exposure to user acceptance testing (UAT), data validation, and business process documentation.
  • Experience with portfolio accounting systems such as APX is preferred but not required.
  • Understanding of both regional office workflows and centralized operational support models.
