Overview

WHO are we looking for?

 

CAPTRUST is seeking a part-time Hospitality Administrative Assistant will provide general support to the Hospitality team and Administrative Professionals team and is responsible for helping create a warm, vibrant, and positive atmosphere for employees, guests, clients, and prospects. This role provides support for catering, meetings, trainings, office hospitality services, and day-to-day headquarters operations. The ideal candidate is someone who enjoys working with people, takes pride in delivering exceptional service, and embodies the CAPTRUST spirit of hospitality. This is a part-time position scheduled for 30 hours per week.

Responsibilities

  • Assisting in the stocking, rotation, presentation, and overall flow of The Exchange and auxiliary kitchenettes
  • Assisting with light kitchen prep work as needed
  • Assisting with delivery, setup, and breakdown of catering orders for meetings, trainings, and special events
  • Assisting with conference room setup and ensuring meeting spaces are clean, organized, and ready for use
  • Greeting and assisting guests, vendors, clients, and visitors in a professional and welcoming manner
  • Accepting deliveries and verifying accuracy
  • Assisting with inventory management and ordering supplies for hospitality and office operations
  • Assisting with Concur expense reporting and invoice processing as needed
  • Adhering to food safety and sanitation standards in accordance with health code requirements
  •  Providing administrative support for office hospitality initiatives, employee events, and special projects
  • Assisting with front desk and administrative team coverage when needed
  • Providing backup support to the mailroom
  • Supporting administrative professionals with headquarters office needs as assigned
  • Complete special projects and additional duties assigned

Qualifications

Minimum Qualifications:

  • High school diploma or equivalent required; associate's degree preferred
  • Previous customer service, hospitality, retail, restaurant, office support, or administrative experience preferred
  • Excellent phone etiquette and verbal and written communication skills
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Experience with Microsoft Teams preferred
  • Ability to learn new systems, processes, and procedures quickly
